Step by step

How to import a bank statement PDF into Tally

Four steps, start to finish.

1

Upload the PDF

Drag it in. If your bank locked the file, type the password once.

2

We read the transactions

Date, narration, cheque number, debit, credit and balance. Scanned pages are read too. Every row is checked against the balance so nothing is missed.

3

You check the ledgers

Each transaction arrives with a suggested ledger. Confirm the good ones, fix the rest. Similar narrations can be set together in one go.

4

Post to Tally

Download the clean Excel, then let Tally Connector — our free Windows app — import it into your open Tally company. Receipts, payments and contras are created for you. No XML file to build. Or just keep the Excel.

Your statement

What we do with each column

Banks name their columns differently. All of them carry the same six things.

Your statement column What it becomes
Transaction Date Voucher date
Value Date Kept for your reference
Narration / Description Narration, and picks the ledger
Cheque / Reference No. Cheque number on the entry
Withdrawal / Debit A payment entry
Deposit / Credit A receipt entry
Balance Used to double-check every row

FAQ

Common questions

Can I import a bank statement PDF straight into Tally?

Tally cannot read bank PDFs on its own. SmartXtract sits in between — it reads the PDF, picks a ledger for each transaction, and posts the entries into Tally once you approve them.

Which banks work?

SBI, HDFC, ICICI, Axis, Kotak, PNB, Canara, Bank of Baroda and more. We read the layout of the statement rather than using a fixed template per bank, so smaller and co-operative banks usually work too.

Does it work with scanned statements?

Yes. Pages that are just images are read as well. Those rows are then checked against the balance column, which catches the mistakes scanning can cause.

What about password-protected PDFs?

Type the password when you upload. The statement is then handled like any other.

Do I have to check every transaction?

Nothing goes into Tally until you approve it. Most of the work is confirming the suggested ledgers and fixing a few. You can set one ledger across many similar rows at once.

Can I get an Excel file instead?

Yes. Any statement can be downloaded as a clean Excel file with the ledger names included.

How do the entries actually get into Tally?

Through Tally Connector, a free Windows app that runs on the same PC as Tally. It lists the companies open in Tally, imports the Excel you downloaded, lets you assign the ledgers, and creates the vouchers on one click. Undo Import reverses a batch if you need it.

Do I have to make a Tally XML file?

No. Tally Connector posts the vouchers for you, so there is no XML file to build, check or repair.

Can bank statement entry in Tally be automated?

The typing can, and the ledger picking mostly can. The approval should not be, and here it is not: entries are prepared, reconciled against the statement balance and given a suggested ledger, then wait for you. What you save is the hour of data entry per statement, not the judgement about which ledger a payment belongs to.

How much of this is AI, and where does it stop?

AI does two jobs. It reads statements it has never seen a template for, including scanned pages, which is what lets one tool handle every bank. And it suggests a Tally ledger for each transaction from the narration. It stops there. It does not post anything, and it does not overrule the balance check — a row whose arithmetic does not reconcile is flagged to you regardless of how confident the reading was.

What does the free trial include?

20 pages, no card needed. Enough to run a real statement start to finish and see the result.
