How to convert a scanned bank statement for Tally

Four steps. The third one is the reason a scan can be trusted.

Upload the scan as it is

A scanned PDF, a photocopy, or pages photographed on a phone. Do not straighten, crop or re-print them first. If the file is password protected as well, type the password once at upload — see password-protected statements.

The pages are read as images

There is no text inside a scan, so each page is read visually: date, narration, cheque or reference number, withdrawal, deposit and balance. This is the step most tools stop at.

Every row is checked against the balance

A bank statement carries its own proof. The previous balance, plus the deposit, minus the withdrawal, must equal the balance printed on that row. That arithmetic is run down the whole statement and across page breaks. A figure read wrongly breaks the chain, and the row is flagged instead of quietly going into your books.

The parts of a scanned statement that cause trouble

These are the failure points specific to scans rather than to digital PDFs. A digital statement carries its figures as text. A scan carries them as shapes, and shapes can be read wrongly.

Common questions

Can Tally import a scanned bank statement?

No. Tally’s Bank Statement import accepts Excel, CSV and MT940 files downloaded from the bank’s own portal, and Tally’s documentation states it cannot import a PDF — nor an Excel or CSV file that was converted from one. A scan is a PDF of pictures, so it is further still from anything Tally will accept. Something has to read the pages and build real entries first.

How accurate is reading a scanned statement?

Less accurate than reading a digital PDF, and any tool that tells you otherwise is guessing. That is exactly why every row is checked against the statement’s running balance: the arithmetic either works down the whole page or it does not, and where it does not, the row is flagged for you rather than posted.

Do I need to clean up the scan first?

No. Upload it as it is. Straightening, cropping or re-printing pages tends to lose detail rather than add it. Re-printing a locked statement to remove its password is the worst version of this, because it adds a fresh generation of scan errors to every page.

What if the scan is password protected as well?

Type the password once at upload. The file is opened first and the pages read afterwards, so you never have to create an unprotected copy of a client’s statement.

Can I photograph the pages on a phone instead of scanning them?

Yes, and it usually reads about as well as a flatbed scan. Keep the whole page in frame, avoid a shadow falling across the figures, and photograph every page including the last one — the closing balance is what the check reconciles to.

What happens to a row that cannot be read?

It is shown to you along with the balance mismatch, so you can read that one row off the statement and correct it. Reviewing three flagged rows takes a minute. Finding them yourself after they are in Tally takes an afternoon.

Can I get a plain Excel file rather than Tally entries?

Yes. Any statement can be downloaded as a clean Excel file with the ledger names alongside. Whether you post it to Tally afterwards is up to you.

How do the entries reach Tally?

Through Tally Connector, a free Windows 10 or 11 app that runs on the same PC as TallyPrime. It lists the companies open in Tally, imports the Excel you downloaded, lets you set the ledgers, and creates the vouchers on one click. Undo Import reverses a whole batch. There is no Tally XML file to build.

Can I try it on my own scan first?
