How to convert a bank statement PDF to Excel

Three steps to the file, and a fourth if it is going into Tally.

Upload the statement

Any Indian bank, any layout, one page or two hundred. Digital PDFs, scanned pages and password-protected files all go in as they are.

Every transaction is read

Date, narration, cheque or reference number, withdrawal, deposit and balance. The layout is read from your statement rather than from a stored template for that bank, which is why smaller and co-operative banks usually work too.

The rows are checked, then downloaded

Previous balance, plus deposit, minus withdrawal, must equal the balance on that row. Where it does not, the row is flagged for you. Then download a clean Excel file, columns aligned, no merged cells, no page headers repeated mid-file.

Each row also carries a suggested Tally ledger. Approve them and Tally Connector — our free Windows app — creates the receipt, payment and contra vouchers in your open Tally company. There is no Tally XML file to build.

Common questions

Which banks does the converter work with?

SBI, HDFC, ICICI, Axis, Kotak, PNB, Canara, Bank of Baroda and more. The layout is read from the statement itself rather than from a fixed template per bank, so smaller banks, co-operative banks and older statement formats usually work as well.

Is there a free bank statement converter?

Plenty of sites convert a PDF for free, and for a one-off personal statement that may be all you need. Two things are worth knowing before you upload a client’s statement to one: you are handing a full copy of it to a service you have no relationship with, and almost none of them check the figures they give you against the statement’s own balance. Here the trial is 20 pages with no card, which is enough to convert a real statement and compare.

Does it work on a scanned statement?

Yes. Scanned and photographed pages are read as images, and those rows are then checked against the running balance — which matters most on scans, because a misread digit is the commonest failure. See scanned bank statements.

What about a password-protected PDF?

Type the password once at upload. You never have to remove it, and no unprotected copy of the statement is created. Where each bank states its password format is set out on the password-protected statements page.

How is a converted file different from one Tally will accept?

Tally’s Bank Statement import takes Excel, CSV or MT940 files downloaded from the bank’s own portal, and Tally’s documentation states it will not accept a PDF, or an Excel or CSV file converted from one. So a converted file is for you to work with, not something to feed into that import. Getting the transactions into Tally is a different route: approve the entries and Tally Connector creates the vouchers.

Can the converter give me Tally entries rather than a spreadsheet?

Yes, and most people want both. Each row carries a suggested ledger; you confirm or change them, then post the batch to Tally through Tally Connector as receipt, payment and contra vouchers. Undo Import reverses a whole batch if you need it.

What does the AI actually do?

Two things worth naming. It reads statements it has no template for, including scans, which is what makes one converter work across every bank instead of a listed few. And it suggests a Tally ledger for each transaction from the narration, so you are confirming a mapping rather than typing one. It does not decide anything on its own — nothing reaches Tally until you approve it.

How many pages does a statement use?

Pages are counted as they appear in the PDF, so a 12-page statement uses 12 of your pages. The 20-page trial covers a normal monthly statement end to end.

Is my statement kept afterwards?

Your recent documents stay in your own account so you can download the Excel again, and you can delete any of them yourself. Older ones drop off automatically as new statements come in, so nothing accumulates indefinitely. How data is handled is set out in the privacy policy.
